Regular shipments to Philippines: scheduling and standardizing shipment data

How to organise regular shipments to Philippines: standardize item lists, preparation schedules, approval responsibilities and assessment criteria for each shipment.

For businesses sending goods to the Philippines multiple times, each batch should not start over from a separate message chain. A shared data set and clear preparation schedule help you control changes between shipments while still individually checking the condition of each batch.

Build original product catalog

Create a table including product code, description name, material, use, label image, packing specifications and authoritative value. Write down who is responsible for updates. When changing vendors, components or models, mark the new version; Do not use old records just because the trade names are similar.

Original table is an internal tool to provide consistent data. It does not replace the comparison of receiving conditions, documents and importer's requirements for each batch.

Reverse scheduling from receive demand

Determine the delivery date, then discuss the expected shipping schedule and set aside appropriate buffers. Separate the time for product preparation, packaging, document review and handover. Don't lump it all into one "sent date" because each step may be in charge of a different department.

  • Final date of quantity and recipient.
  • Date of completion of packing, weighing and measuring.
  • Approval date for statements, invoices and necessary documents.
  • Expected handover date and confirmation.

Internal schedules need to be adjusted when transportation plans change. Sending one batch on time does not guarantee that all subsequent batches will have the same time.

Compare costs using the same range

Track total costs by batch, number of packages, weight, volume and delivery scope. A batch that includes pickup, wooden case packing, or domestic delivery should not be directly compared to a batch that only transports between two warehouses. Write down the reason for the problem so that next time you will know which parts can be prepared earlier.

After each batch, record what needs to be corrected

Use three questions: does the document need to be corrected, does the case need to be closed, and will the recipient have difficulty receiving it? Focus on specific changes such as standardizing units of measure or specifying delivery times, instead of just giving an overall score of “fast” or “slow”.
