Invoice and Packing List are often mentioned together, but they do not describe the same thing. A document that represents transaction information and value; The other document helps compare which packages the goods are divided into.

Understand roles before filling out forms

Philippine Customs lists Commercial Invoice, Packing List and bill of lading in the group of common import documents; Actual documents depend on the nature of the shipment. Source: Bureau of Customs, Guidelines on Importation.

Do not download any form and sign it immediately. First of all, ask the person in charge of the shipment records which samples are needed, who issues them and who checks them. You can prepare data early even before the final form is ready.

Information should be available for the invoice section

  • Sender/seller and receiver/buyer information by case.
  • Name of each item sufficient for identification, model or specification when available.
  • Quantity, unit, value and currency.
  • Sending purpose: sale, sample, gift or other true purpose.
  • Current purchase or related transaction documents.

Don't write yourself the value as 0 just because the recipient doesn't have to pay you. If it is a sample or gift, describe the situation properly to receive instructions on declaring an appropriate, well-founded value.

Information for package manifest

Number the packages and write down which item is in which package. Two boxes of the same type of goods but different quantities still need to be displayed correctly. In particular, do not use a "mixed goods" line to replace the entire detailed list you have.

Case Contents Quantity Scales/measurements
1/2 [Name, specifications] [Quantity, unit] [kg; length × width × height cm]
2/2 [Name, specifications] [Quantity, unit] [kg; length × width × height cm]

This is a data collection table for exchange, not a document accepted by the customs authority. When packing more goods or transferring items to another box, the corresponding list needs to be updated.

Compare four points before transferring records

  1. Recipient name and address consistent across documents.
  2. Item names do not change meaning between list and invoice.
  3. The total quantity matches the actual goods in the packages.
  4. Currency, unit of measure and number of pieces are clearly stated.

If you find a discrepancy, send the revised version to the person in charge instead of creating an additional version yourself and letting both circulate. Clearly state the update date or file name so everyone knows which version is being used.

What should I do if I buy retail goods without enough documents?

Gather the documents you actually have and state what is missing. Do not create invoices for incorrect transactions or copy information from another shipment. Gia Phú needs to examine the situation before advising on the next step.

Read more sample preparation and prepares gifts if that is your sending purpose.
