Sample goods intended for viewing, testing or evaluation by partners still need to be accurately described. A “sample” line usually does not tell the handler what the item is, what it is made of, and what shipping characteristics it has.

Use product name first, purpose later

Prepare the trade name, material or ingredient, use, model/specification and quantity. Then clearly state what purpose the goods are used as samples. If there are many similar samples, attach an internal code so that the partner and the list can identify each other.

Internal code does not replace description. For example, “model A01” is only useful if the accompanying documentation explains what product A01 is. Avoid a file that only has code that other recipients won't understand.

Exchange documents before sending

BOC lists groups of import documents and inspection requirements according to the nature of the goods. Prepare invoice data, statements and existing product records for the person in charge to determine the documents needed. Source: BOC import instructions.

Do not self-indicate the value with 0 because the model was given as a gift or there was no sale. State the correct situation and ask how to declare the value based on reason. Also do not take the price of another commercial lot if it does not reflect the sample being submitted.

Synchronize with partners in the Philippines

  • Confirm the unit name and contact person to receive the sample.
  • Unify the recipient address.
  • Let the partner know the expected package content and number.
  • Ask the contact to coordinate documents if necessary.
  • Specify the party responsible for the agreed fees.

If the model needs to arrive before an assessment, mention this when asking for the schedule. Not understanding the expected time as a firm commitment for your partner's appointment.

Packaged to compare each sample

Mark the sample with the code corresponding to the list, protect the identification label and record which item is in which package. For samples that are fragile, liquid or have batteries, you need to check the individual specifications first. Don't put them in the same packaging and leave the recipient guessing.

Save images of each sample before closing. If user manuals or technical information are required for the partner, send appropriate documentation separately; Do not stuff important data under file names with unknown versions.

Finalize a final information release

Before handover, compare goods name, quantity, purpose, value, package number and address. Any last minute changes need to be updated to the receiving party instead of just editing files stored on your computer.
