With multiple parcel shipments to the Philippines, a common problem is that the information in the message, manifest and box label do not match. Establishing a simple coding system from the beginning helps senders, warehouses, and recipients correctly identify each package.
Use a clear batch code and serial number
You can set the internal code like PH-SEP-A and then write PH-SEP-A-01, PH-SEP-A-02 on each package. This is a self-managed code only and does not replace the shipping unit's bill of lading code. Add the total number of packages, for example 01/06, after the quantity has been finalized.
If adding cases at the last minute, the total number of cases on the entire manifest needs to be updated. Don't let some boxes say 05 packages while the final receipt says 06 packages. For rows of multiple people, keep the corresponding owner or recipient column.
Minimum tally table
- Package code and description of the product group inside.
- Number of products or packaging units.
- Weight, length, width, height and back closure.
- Note fragility, agreed placement direction or operating conditions.
- Photo of the package and sealing condition at the time of handover.
A batch can include cartons, wooden cases and rolls. Do not write everything in the same format just to make the table shorter. Measurements and operations for each type of package may vary.
Delivered in batches must be recorded separately
If the warehouse receives three packages today and two packages tomorrow, it is necessary to confirm each receipt and the final consolidation. Ask clearly where the queue is to be collected, which contact keeps the list and when it will be released. Not understanding that packages on different dates will always travel on the same trip.
Recipients check with the same list
Send the finalized list to the recipient before delivery. When receiving a missing package code, it is necessary to report the correct code, photo and bill of lading information instead of just saying "one box is missing". If the goods are split into bills of lading or delivered multiple times, ask the contact person in charge to confirm in advance so that the recipient does not mistake the package for loss.
